Corporate secretaries and accounting firms often order a company stamp on behalf of a new client, sometimes several in a week. The tools that make ordering easy for a business owner also fit a firm's workflow: a design per client, sign-off by link, an invoice in the right name, and files you can keep on the client's record.

1. Design each client's stamp

Start from the client's ACRA business profile: copy the registered name exactly, including "Pte. Ltd.", and the UEN. Build the stamp in the generator or on the buy page, or start from a ready-made template so every client gets a clean, consistent layout. If the client already has artwork, use Upload Your Design instead, after checking it against our artwork guide.

2. Get the director's sign-off

Click Share design and send the link to the client's director by email, WhatsApp or Telegram. The link opens the exact design, so the director checks the name and UEN for themselves, and can order it straight from the link if the client prefers to pay. See sharing a design for approval.

3. One client per order, or several

  • One order per client keeps invoices and deliveries separate. It suits clients who pay for their own stamp or want it delivered to their own address.
  • Several clients in one order works when everything comes to your office. Each design is a separate line in the cart, stamps are ordered in quantities of 2 to 10 per design, and delivery is one flat fee for the whole order.

A client who also wants a common seal can have a Pocket Seal in the same order.

4. Put the right name on the invoice

At checkout, tick Billing details are different from delivery details and enter the company name and billing address that should appear on the invoice: your firm's, or your client's. Pay by PayPal and the GST tax invoice is emailed straight away; pay by PayNow and it follows once we have verified the transfer. See PayPal and the instant tax invoice and how PayNow verification works.

5. Plan around the client's deadline

The usual deadline is a bank account opening appointment. The buy page shows a live estimated delivery date for each speed, so choose Fastest if the date is tight; see Fastest vs Cheapest delivery and company stamps and bank accounts.

6. Keep the files on the client's record

Every order includes a transparent PNG and true-size print-ready PDFs of each design. Save them in the client's folder: the PNG can go on the client's digital documents, and the files let you reorder an identical stamp when one wears out or the client opens another office. See what you receive with each order.

When a client changes

A name change, a new branch or a conversion from sole proprietorship to company all mean a stamp update. Our guide to replacing a stamp after a name or address change sets out what changes and what stays the same, and stamps for branches and departments covers clients with more than one office.
